Totumim Consults ("we," "us," "our") provides accounting, tax, and audit services to businesses in Nigeria. This policy explains what information we collect from clients and website visitors, how we use it, and the choices you have.
Information We Collect
We collect information in the following ways:
- Contact details you provide through our website contact form, email, or phone — including your name, email address, phone number, and any message you send us.
- Financial documents and business records you share with us as part of engaging our accounting, tax, or audit services — such as bank statements, receipts, invoices, and payroll records. These may be sent via email, WhatsApp, shared drive links, or uploaded directly to our client systems.
- Basic site preferences, such as your light/dark mode choice, stored locally in your browser (not on our servers).
How We Use Your Information
- To provide bookkeeping, tax planning, audit, and advisory services you've engaged us for.
- To communicate with you about your account, engagement, or inquiries.
- To prepare statutory filings and financial statements on your behalf, where instructed.
- To improve our services and website.
WhatsApp and Document Submission
As a convenience for clients, we accept receipts and supporting documents via WhatsApp Business messaging in addition to email and shared drives. Documents sent this way are used solely for preparing your books and records, are stored securely within our internal systems, and are not shared with any third party except as required to complete your engagement (e.g., your bank, tax authority, or auditor, where applicable).
How We Share Information
We do not sell your information. We may share information with:
- Regulatory or tax authorities, where required by law or as part of a filing you've instructed us to make.
- Service providers who support our operations (e.g., cloud hosting, messaging platforms), bound by confidentiality obligations.
- Professional advisors (e.g., your external auditor), only with your knowledge and as needed for your engagement.
Data Retention
We retain client financial records for as long as your engagement is active and thereafter for the period required by Nigerian accounting and tax record-keeping obligations, after which records are securely disposed of.
Your Rights
In line with the Nigeria Data Protection Act, you may request access to, correction of, or deletion of your personal information, subject to our legal and professional record-keeping obligations. To make a request, contact us using the details below.
Security
We take reasonable technical and organizational measures to protect client information against unauthorized access, loss, or misuse.
